Separate the fair from the rest of your invitations
Art Basel Miami Beach and the other appointments on your calendar should be listed as distinct destinations. Use the venue information on each invitation rather than assuming that every art-week event takes place at the same address.
Identify your fixed entry or appointment times first. Then add flexible browsing and hospitality plans around them. This produces a useful itinerary without promising that a packed calendar can always be completed at the pace originally imagined.
Build space between stops
Allow time to leave the venue, gather your party and reach the agreed vehicle meeting point. The moment a viewing ends is not necessarily the moment everyone is ready to depart, especially when guests are arriving from different rooms or appointments.
Choose a single contact for changes to the order of visits. If the afternoon becomes a different itinerary, communicating a revised sequence is clearer than sending several unrelated pickup instructions.
Keep evening travel and purchases distinct
A late dinner or reception can require a separate return window from the daytime fair visit. Include the final destination and any change in passengers so the request covers the evening as deliberately as the afternoon.
Mention bags or purchases that affect vehicle space. Artwork transport, exhibition access and event tickets are separate arrangements, not implied by a passenger-car booking. Pugachev will confirm the available vehicle, requested hours and quotation for the itinerary.
