Plan arrival at the actual entrance
Your reservation time is not necessarily the time to leave the hotel. Include the restaurant address and any entrance instructions, then allow space for the group to assemble and reach the table.
If the restaurant is inside a hotel or larger venue, specify its name as well as the building. This helps distinguish the restaurant arrival from another lobby, valet area or event entrance.
Decide how flexible the return needs to be
If you know when the evening ends, request an outbound and a return transfer as two defined legs. If dinner may lead to another venue, a reserved chauffeur window may better describe the intended service.
Explain whether the car should remain assigned between stops or return for a scheduled pickup. Waiting, parking and added time should be addressed in the proposal rather than assumed to be included in a single ride.
Keep the group and next stop coordinated
Choose one contact for the party, particularly when people join from different hotels or leave for different addresses. List those addresses and the desired order in the initial request.
For an evening ending after midnight, use the correct date for the final pickup. Mention bags, celebration items or a preferred vehicle when booking. The final arrangement should identify the vehicle, itinerary and agreed service period.
