Build the day around organisations, not just addresses
For each organisation, provide the full address, district, local host and visitor arrival instructions. Distinguish the time a delegation must reach reception from the actual meeting start, including any registration arranged by the host.
Put fixed investor presentations and appointments that can move into separate categories. Review the order before confirming it with every host: repeated crossings between districts can consume the intervals intended for lunch or preparation. Share a proposed sequence rather than assuming all meetings can remain back-to-back.
Keep operational updates in one channel
Nominate one roadshow coordinator who can agree changes with the different host organisations. Local reception contacts explain their own building; the coordinator maintains the overall route and approves which meeting or stop changes when timing moves.
Only send information needed for transport: passenger contact, meeting location and timing. Sensitive meeting content or confidential business documents are not necessary to explain where the car should be.
Plan changing occupancy and the final leg
State whether colleagues join for individual meetings and whether anyone brings luggage from an airport or hotel. Select the requested vehicle around the busiest segment, including presentation materials.
Include the last airport, dinner or hotel transfer explicitly. Ask the written proposal to distinguish the reserved service period and any extra-time arrangements. A roadshow request does not itself establish unlimited standby, security services or corporate billing terms.
