A clear handover record lets you enjoy the car without trying to remember later whether a mark, an accessory or a dashboard reading was already there. Set aside a few unhurried minutes at both pickup and return. The aim is a shared record with the rental team, not a collection of photographs nobody has reviewed.
This checklist begins after you have chosen the car. For booking documents and eligibility questions, use our separate rental requirements guide and the rental policies.
Start with the actual vehicle
Confirm that the car, plate and agreed booking details match the handover. If the vehicle differs from the original request, ask the team to explain the new equipment and terms before departing. Do not transfer the previous car's fuel, charging or mileage assumptions to a replacement.
Walk around the vehicle with the team where possible. If the light makes a surface difficult to see, say so and ask how it should be documented. A dark photograph should not be treated as a thorough inspection.
A useful photograph sequence
| Area | Record | Detail that makes the image useful |
|---|---|---|
| Exterior | Front, rear and both sides | Whole panels in focus, with enough light |
| Wheels | Each wheel and visible tyre area | A close view of existing rim marks |
| Glass and lights | Windscreen, windows and lamps | Existing chips or visible damage |
| Cabin | Seats, dashboard and luggage area | Existing marks and supplied equipment |
| Display | Mileage and fuel or charge level | Readable numbers and indicators |
| Accessories | Keys, cables and other supplied items | A record of what was handed over |
Keep the original files rather than only a compressed collage. Take an additional close-up of anything already noted on the condition record. Photographs supplement the agreed handover record; they do not replace reporting a concern.
Resolve questions before driving away
Ask the team to record existing damage or missing equipment and retain the acknowledgement. If a warning light is showing, ask for an explanation before setting off. Learn how to open the fuel or charging port and how to operate features you will use, including the roof if applicable.
Test your seating position, mirrors and basic controls while parked. Place luggage safely and make sure it fits without forcing a roof cover, seat or trim panel. If the load does not fit, discuss the problem before beginning the trip.
For electric cars, the Tesla charging guide adds the questions about cables, billing and return charge. Those details belong to the specific vehicle, not simply its brand.
Repeat the same sequence at return
Return to the agreed location at the agreed time and repeat the key photographs. Record the odometer and fuel or charge level. Ask for confirmation that the car and accessories were received, and keep any fuel or charging receipt relevant to the return.
If an after-hours return has been agreed, obtain the exact instructions in advance: where to leave the car, how to return keys and how receipt will be confirmed. Do not assume that leaving a car outside an address ends the rental. Follow the agreed process and contact the team if the location is inaccessible.
Check door pockets, the luggage area and charging points for personal belongings. The FTC's car-rental guidance notes that connected vehicles can retain personal data. Remove your own paired phone and stored personal information before handover, without resetting the car or deleting the owner's settings.
Keep one small handover folder
Store the reservation, agreed condition record, original photographs, collection and return times, and relevant receipts together. If a question arises, share the specific item that answers it rather than sending an unrelated camera roll.
For a later road-charge query, the Miami toll checklist explains which transaction details to request. A good return record makes that conversation simpler too.
Common handover questions
Is a video enough?
A video can add context, but readable still photographs and an acknowledged condition record are easier to refer to for an individual mark or display reading.
Should I clean the car before taking photographs?
Ask about the agreed return condition and cleaning requirements. Do not use unfamiliar products or attempt to repair a mark yourself.
What if I notice something just after leaving?
Stop in a safe place and contact the team promptly. Send a clear description and relevant image, then follow their instructions. Avoid trying to diagnose or alter the car while driving.
