Put one clear contact behind the plan
Identify the adult arranging the request and a reachable passenger contact for the evening. Give the passenger list and pickup address, including any additional collection that needs to be considered.
Agree who can communicate changes to the itinerary. A group chat can hold many suggestions, but the transport brief should have one current version of the addresses, times and return arrangement.
Plan photographs without losing the arrival window
If photographs are planned before the event, include the location and the time set aside. Confirm that the location permits the intended visit; a transport booking does not grant photography permission or turn the car into a separate commercial photo hire.
Work back from the required venue arrival and include the time the party needs to gather. A photo stop is easiest to assess when it has a defined place in the original schedule instead of being added on the way.
Describe the return before the night begins
List the agreed collection time or window and the destinations approved for the request. If passengers return to different homes, include those addresses in order and identify who remains with the group on each leg.
Ask for your preferred vehicle and describe passenger needs rather than relying on a photograph to establish capacity. Pugachev will review suitability, availability and the booking conditions for the proposed evening; event admission and the school's arrangements are separate.
