  1. Use the operator's confirmed details
  2. Confirm where the car can meet you
  3. Plan for a different FBO or airport
  4. Check baggage and equipment

For a private-flight pickup, the airport name is only the first piece of information. Confirm the fixed-base operator, its actual meeting address, the flight details needed for coordination and the contact who can advise the transport team if the arrival changes.

Miami's aviation facilities include separate general-aviation airports and operators. The aviation department's general-aviation information is a useful orientation source, but the flight operator should confirm the FBO for your specific movement.

Use the operator's confirmed details

Ask your flight coordinator for the arrival airport, FBO name, landside meeting instructions and any relevant arrival updates. Do not substitute the main commercial terminal because it shares the airport's name.

Provide the transport team only the flight identifiers and passenger information it needs. Keep sensitive travel details within the agreed coordination channel rather than putting them in a broad group message.

DetailWhy the driver needs it
Airport and FBOIdentifies the correct facility
Meeting addressAvoids a generic terminal or service-road destination
Flight referenceSupports coordination of the actual arrival
Lead contactProvides a reliable update source
Passengers and bagsDetermines the vehicle requirement
Final destinationCompletes the route and quote

Confirm where the car can meet you

Do not assume an apron-side or aircraft-side pickup is included. Access depends on the facility, permissions and operating arrangement. Ask the FBO and transport team to agree the permitted meeting point.

If the arrival is international or otherwise involves formalities, keep those separate from the flight's landing time. The car pickup should follow the confirmed release and meeting process, not an assumption that passengers can leave immediately after touchdown.

Plan for a different FBO or airport

A flight change may alter more than the arrival time. If the operator changes the FBO or airport, send the complete revised details and ask the transport team to confirm the new arrangement and any cost difference.

Choose one coordinator to manage updates. Several messages using an old airport name can be more disruptive than a straightforward delay with a clear new plan.

Check baggage and equipment

State the full passenger count and luggage, including any large cases, golf bags or equipment. A private flight's cabin capacity does not establish what fits in a single car. Ask for the actual vehicle allocation before arrival.

Use the private aviation car service page for the enquiry, or the wider chauffeur service page if the pickup begins a longer itinerary. Confirm the FBO, meeting point, vehicle and contact together. That makes the handover precise without promising access the transport provider has not secured.
