When a group arrives on different flights, organise pickups by flight and readiness, not only by the final passenger count. Two flights landing close together can still produce different exit times, and arrivals at MIA and FLL should not be treated as one meeting point.

A simple manifest helps the transport team match people, bags and vehicles. Keep it limited to the information needed for the journey; a driver does not need full passports, payment details or the group's entire travel itinerary.

Use one row per arriving party

Group people who arrive together and will leave the airport together. Identify a contact for each party and one organiser who can approve changes. Use the arrival flight number rather than only the departure city.

Decide whether waiting is worthwhile

If one party arrives much earlier, compare a separate transfer with waiting for the rest of the group. Include the waiting terms and the guests' preferences. Do not assume everyone is comfortable spending extra time at the airport merely to share a car.

If the group plans to depart together, agree where they will wait and what happens when a flight is delayed. The transport provider needs to know who can authorise a split pickup or a revised time.

Match vehicles to the complete load

Assign bags and passengers to each proposed vehicle. A manifest that lists eight people without their luggage is not enough to confirm a transport plan. Keep any child restraints or mobility equipment with the party that needs them.

The airport luggage checklist covers the individual pickup details. The manifest adds the group-level coordination so that those details do not get lost across several bookings.

Keep updates in one place

Send flight changes through the agreed channel and mark which version of the manifest is current. Avoid editing one person's private message while leaving the main organiser and transport team with an older plan.

On arrival, each lead contact should follow the confirmed meeting instructions. A driver cannot reliably identify a group from a company name alone in a busy terminal.

Request the right airport service

Use Miami airport car service for MIA and Fort Lauderdale airport car service for FLL. Provide the manifest with the request and ask for the proposed vehicle allocation, waiting terms and complete cost. Clear group information is more effective than a single large passenger number with the details left until landing.
