Request a specific vehicle and an agreed handover, rather than assuming any rental can be delivered at any terminal kerb.

Miami International Airport, Fort Lauderdale-Hollywood International Airport and Brightline stations are different meeting points. Give the team your actual arrival airport, flight details, passenger count and bag sizes, then confirm location, timing and applicable costs. MIA: distinguish a rental centre from your arrangement

Miami International Airport publishes its ground transportation information, including the MIA Mover connection to the Rental Car Center. Follow the airport's directions if that is the service you have booked. Do not assume an independently arranged luxury rental has a desk there.

Brightline: the station is not the airport terminal

Brightline's MiamiCentral and Fort Lauderdale stations are separate from MIA and FLL. The operator provides information about airport connections in its station transport guide. Check the current service and booking instructions with Brightline rather than assuming the train stops at your terminal.

If rail travel is part of the arrival, write every leg into the schedule: airport to station, train journey, then station to hotel or handover point. A car collection at the station needs its own confirmation. It should not be presented as terminal delivery just because the journey began at an airport.

Check luggage arrangements with each provider. A bag accepted by an airline does not automatically tell you what is suitable for a train or rental car. Consider whether moving several large cases through multiple connections serves your group better than a separately arranged transfer.

Describe bags instead of saying “normal luggage”

Give the number of cases, whether they are rigid or soft, their approximate dimensions and any unusual items. Include pushchairs, garment bags or equipment if applicable. That is more useful than saying that everyone has a suitcase, especially when comparing an SUV with a sports car.
